Job Purpose:
To coordinate the activities of the records section in the department by ensuring that an effective record system is maintained to meet both the needs of the users and the requirements of the relevant legislation.
Minimum Requirements:
Diploma in Office Management/Public Management/Public Administration
Certificate in Records Management or Archives
Computer literate
Matric
1-2 years in a similar environment
Core Responsibilities:
Keeping an up-to-date record of all files by means of opening, referencing, indexing and closing of files to ensure an accurate archives system
Circulation of all correspondence addressed to staff
Tracking the system of all documents processed via Records Section
Processing of information on staff attendance
Disposal of information in terms of the applicable legislation
Administration of human resources activities (leave forms, attendance registers etc.
Procurement of office consumable and handling of petty cash
Ensuring that new assets are bar-coded and registered
Ensure that inventory forms are updated and obsolete assets are handled as per Assets Management Policy
Management, safekeeping and maintenance of printing machinery and office equipment

Note: The successful candidate who does not have the MFMA minimum competency requirements will be required to obtain them within 18 months of appointment, in terms of the National Treasury Requirement.
Appointments will be made on a permanent basis to comply with the Local Government: Municipal Systems Amendment Act, 3 of 2022 and will be subject to the signing of an employment contract, performance agreement and disclosure of financial interest. Candidates will be subjected to relevant competency assessment as well as security clearance / vetting processes.
