Job Purpose:
To provide comprehensive, efficient, and effective clerical, secretarial, and administrative support services to ensure the smooth functioning of the office.
Minimum Requirements:
Grade 12 plus Secretarial Certificate
1 – 2 years’ experience in similar environment
Core Responsibilities:
Manage the Divisional Head’s diary by scheduling, confirming, and coordinating appointments, meetings, and travel arrangements, while prioritising urgent matters and ensuring the effective management of commitments.
Coordinate meeting logistics, including venue bookings, refreshments, and communication with internal and external stakeholders to ensure the smooth execution of meetings.
Screen and manage incoming calls, correspondence, and messages before directing them to the Divisional Head, respond to routine enquiries where appropriate, and ensure the timely recording and follow-up of return calls.
Prepare, format, copy, and distribute documents, reports, presentations, and other official correspondence using relevant office applications.
Establish, maintain, and update an effective filing and records management system for the Office of the Divisional Head to ensure safekeeping and easy retrieval of information.
